This position is for the San Marcos Office with the Working Together for Inclusion & Belonging Projects. Working Together for Inclusion & Belonging provides current information and resources addressing child development and inclusion in early childhood, after-school, and other education fields. Working Together team members are specialists in early intervention, mental health, early childhood special education, child development, research and evaluation, and include parents of children with special needs. Team members have strong reputations as leaders in their respective areas.
Working under the general supervision of the project manager the Office Assistant will work directly with the Administrative Assistant to assist with the demands in a fast paced environment. We are looking for a competent Office Assistant to perform various administrative and clerical tasks to support our office. You will undertake a variety of activities in the office ranging from filing, data entry, answering the phone, assisting with the production of program materials and interaction with the public. An effective office clerk has the ability to work diligently to maintain smooth office operations. You must be reliable and hard working with great communication skills. The ideal candidate will have expertise in Office for Mac and FileMaker Pro. Work location is in San Marcos, CA
Supporting the various projects in the office, the Office Assistant will assist the Administrative Assistant in all aspects of project support. This would include but not be limited to assisting with production of program materials, project documentation and tracking, the entry of data into the database of the project and related data management. In addition, the Office Assistant would assist with various clerical functions including the handling of correspondences, generation and editing of reports and materials.
Qualifications & Requirements
• High school diploma or GED
• Ability to format documents and use functions (such as headings and style guides in Word)
• Knowledge of PowerPoint formatting, applying themes, and styles
• Ability to build spreadsheets in Excel
• Ability to assist staff members in utilizing Microsoft Office products
• Ability to navigate the Web – locate information and download
• Demonstrated ability to coordinate work around multiple tasks and multiple deadlines with a variety of different staff members
• Ability to follow-through on completion of tasks and responsibilities
• Strong organization skills
• Resourcefulness and careful attention to detail
• High tolerance for ambiguity, changing work priorities and deadlines, and a willingness to take on responsibilities and to prioritize work on multiple projects
